1. Service responsibilities
Fantasy.Productions L.L.C. owns and operates AuctorFolio. Copeland Systems L.L.C. handles subscription, payment, refund and related accounting matters and authors the website's code. The companies have the same individual owner and remain distinct entities. Access to account information and writing follows user, project and administrative permissions.
2. Information used to provide the service
Account information includes identifiers, display name, email, authentication and confirmation records, preferences, permissions and security records. Email sign-in uses stored password hashes. Do not send your password in support communications.
Content includes manuscripts and revisions, project structure, notes, research, uploaded assets, collaboration records, editorial conversations and generated results. The service stores and processes this information to provide writing, recovery, sharing, export and other requested features. Authorized collaborators receive content according to the permissions or publication choices you make. Local browser copies and copies held by recipients remain outside an account-closure request.
Support records include your messages, case category, priority, history and diagnostic details you submit. Authorized support roles can read case conversations. Avoid including unnecessary sensitive information, passwords or payment-card details.
Billing records include customer name and email, account and payment-provider identifiers, accepted plan and price versions, billing address and tax destination, transactions, invoices, refunds, disputes, credits and reconciliation records. They support payments, accounting, service entitlements and customer support.
3. Service providers and recipients
Microsoft Azure services provide hosting, SQL and Blob storage and related security infrastructure. Azure Communication Services Email processes recipient addresses and transactional notification content and links. Microsoft identity services process sign-in where used.
Stripe processes customer and billing information, checkout, payments and subscription outcomes. Hosted checkout collects payment details directly through Stripe rather than an AuctorFolio card-entry form. Stripe can act in different privacy-law roles for different purposes; see https://stripe.com/privacy.
Optional product analytics can send bounded page-category telemetry to Microsoft Application Insights after your current analytics consent. Providers also receive network and client information associated with requests. Essential operational records support reliability and security separately from optional product analytics.
Optional AI features send authorized writing, relevant conversation context, image prompts, operation references and a hashed user safety identifier to configured AI providers. A hash does not guarantee anonymity. Read the AI Feature Disclosure at https://www.auctorfolio.com/legal/ai-disclosure.
4. Analytics and advertising
We do not sell your personal information or disclose it for cross-context behavioral advertising. Product analytics require separate consent. Accepting legal policies does not opt you into analytics. Turning analytics consent off deletes the matching product-analytics events stored by the application. This does not erase information already received by a provider. Essential authentication, security, billing and operational records are separate from optional analytics.
5. Retention, deletion and security
Retention depends on the information, purpose, account state and applicable obligations. Account tools provide time-limited exports and closure requests. Closure may require resolving project ownership, financial obligations, active work or an authorized hold. Eligible profile, support, analytics, notification and AI payload information is erased or minimized; narrowly scoped records needed for documented legal, financial or security obligations and deletion evidence may remain. Erasure is not immediate removal of every provider-held or historical backup copy.
Safeguards include authenticated access, project and role checks, antiforgery protection, protected secrets and notification payloads, and auditable administrative actions. These measures do not guarantee absolute security or mean that authorized operators can never access customer content.
6. Your choices and requests
Use account-data tools for authenticated export and closure requests. Use the signed-in support form at https://www.auctorfolio.com/support for privacy questions or requests; you do not need to identify the responsible company before submitting a request. Support information is available at https://www.auctorfolio.com/help. Depending on applicable law, rights may include access, correction, deletion, portability, objection or restriction, withdrawal of consent, appeal and complaint to a regulator. Requests may require proportionate identity or representative verification. Do not submit credentials or full payment-card details.
7. Updates and attribution
Material changes to information use require an updated notice and any required consent or other authority. Public notice: https://www.auctorfolio.com/legal/privacy.
